Why We Do Only Two Things, and What That Means for Your Books

By 909 Bookkeeping

We do only bookkeeping and payroll, and we do them the same way every month. Here is why that focus keeps your books clean, your payroll on time, and your costs clear. Plain English from 909 Bookkeeping.

What we mean by two things

When we say we do only two things, we mean it. We do monthly bookkeeping. We do payroll. That is the whole list. We do not add services on the side. We do not split our attention across work we are not set up to do well.

Bookkeeping is the work of sorting every dollar that comes in and goes out, matching the books to the bank, and closing the month on a set day. Payroll is the work of paying your people on time, taking out the right amounts, and sending the reports that go with it. Both jobs run on a schedule. Both jobs need the same care every time.

You can read more about each one on our bookkeeping and payroll pages.

Why focus beats doing more

A firm that does a little of everything tends to do none of it well. The bookkeeper who also files taxes, sets up loans, and gives business advice has to keep up with too many rules at once. Each rule changes. Each one has its own deadlines. When the list gets long, something gives.

We picked a short list on purpose. Two jobs. One routine. The same steps every month. That is what keeps the work fast and what keeps it right. When the routine is the same every time, we get good at it. We see the small things fast. We finish on the same day. You get clean numbers while the month still matters.

There is another side to focus. When a firm does a little of everything, the bookkeeping tends to come last. The tax deadline comes first. The audit comes first. The big client comes first. The monthly close gets pushed to whatever day is left. We do not have that problem. The close is not the thing we do when we have time. It is the thing we do. The same is true for payroll. It does not wait behind a tax return or a consulting call. It runs on its day, every time.

Here is what focus gives you.

What this means for your books

Because bookkeeping is one of our two jobs, your books get the same care every month. We categorize and reconcile in the first week. We send one list of questions on day 8. We close the books by day 10. Then we send your reports.

The reports are the point of the work. A profit and loss report shows what you earned and spent. A balance sheet shows what you own and what you owe. A cash summary shows where the cash came in and went out. You get all three, on time, every month.

Because we do this the same way every time, the books stay clean month after month. Nothing drifts. Nothing piles up. When the year ends, your books are ready for your CPA without a rush.

What this means for your payroll

Because payroll is the other of our two jobs, your people get paid on the same schedule every time. We run the pay. We take out the right amounts. We send the reports that go with it.

Payroll has its own deadlines, and they do not wait. When payroll is one of two jobs and not an afterthought, it runs on time. Your team trusts the date. Your reports go out when they are due. You do not have to chase someone who treats payroll as a side task.

Payroll also has a lot of moving parts. Hours change. Rates change. People join and leave. Deductions shift when someone adds or drops a benefit. When the same team runs payroll every run, those changes get caught. When payroll is handed to whoever is free, the changes get missed. A missed change shows up later as a correction, and corrections cost time and trust.

Here is what stays on schedule.

  • **Pay runs on the same day: ** your team knows when to expect it.
  • - **The right amounts taken out: ** the math is the same every run.
  • - **Reports sent on time: ** the filings go out when they are due.
  • - **One place to ask: ** the same people who do your books do your payroll.

What we do not do

We do not do everything, and that is the point. We do not prepare income tax returns. We do not give tax advice. We do not do audit work, CFO work, or business consulting. We do not sell software or set up loans.

When those jobs come up, we point you to the right person. Your CPA handles the tax return. Your attorney handles the legal side. Your bank handles the loan. We keep the books and run the payroll, so the people who do the rest start with clean numbers.

A situation we clean up

The books that changed hands every year

A small business has used a different person for books each year. One year it was a family member. The next year it was a cheap online service. The year after that it was a general accountant who also did taxes and advice. Each one did the books a different way. By the time the owner comes to us, the books do not match the bank for any month. The reports from last year do not line up with the year before. The owner does not trust the numbers.

Here is how we handle it. We pull the bank statements for the months that are open. We match each account to its statement. We sort the transactions that were left behind. We reconcile every account. We close each open month one at a time, from the oldest forward. Then we set the close to run on the 10th going forward. The owner gets the same reports, on the same day, every month. The books stop changing hands because the routine stops changing.

Mistakes we fix

  • Books that changed hands every year and never matched
  • Months that were never reconciled
  • Payroll that ran late because it was a side task
  • Reports that came at a different time each month
  • Costs that never got a home because no one stayed long enough
  • A year end rush because no one closed the months along the way

Common questions

Why only two things? We do bookkeeping and payroll because both run on a schedule and both need the same care every time. A short list keeps the work fast and keeps it right.

What about my taxes? We do not prepare taxes. We hand your CPA clean books and reports, and we answer questions about the books if your CPA has them.

Do you do payroll too? Yes. Payroll is one of our two jobs. We run the pay, take out the right amounts, and send the reports that go with it.

What if I only need bookkeeping? That is fine. Some clients use us for books only. Some use us for both. You get the same routine either way.
