QuickBooks Online vs Wave: When Free Bookkeeping Software Stops Being Enough
By 909 Bookkeeping
When does free Wave stop being enough? We compare Wave and QuickBooks Online on users, invoicing, bank connections and when to move up.
What each one is
Wave is cloud accounting software. Cloud means you log in through a web browser instead of installing software on one computer. Wave is built for a solo owner or a very small team with plain books. The appeal is the price. A free plan can cover a lot when you are starting out.
QuickBooks Online is also cloud accounting software. The difference is scope. QuickBooks Online is built to grow with a business. It has more plans, more tools, and a much larger app marketplace. You pay for it, and you get more room to add people and features.
The real choice is about the path. Wave can be a good place to start. QuickBooks Online is built to keep going as the business grows. Some owners start on Wave and move when they outgrow it. Others start on QuickBooks Online and never switch.
How Wave is built
On June 1, 2026, older free Wave business accounts with no paid features moved to a free Starter plan. The Starter plan covers unlimited invoicing and manual bookkeeping. That means you can send as many invoices as you need, and you can do the bookkeeping by hand.
Automatic bank connections for transaction import need the paid Pro plan. A bank connection is the link that pulls your transactions in from your bank so you do not type them by hand. Adding users also needs the paid Pro plan. So the moment you want the bank feed to do the typing, or the moment a second person needs to log in, you move to Pro.
Wave has changed plans before. Plans, limits and prices change over time, so check Wave's own plan page before you choose. What was free last year may be paid this year, and the reverse can happen too.
The appeal stays the same. For a solo owner who does the books alone, enters transactions by hand or with a basic bank connection, and only needs invoices and simple reports, Wave can cover the job at a low cost.
When free stops being enough
Free works until it does not. The first sign is usually the bank feed. When you have enough transactions that typing them by hand eats your evenings, you want the feed to do it for you. On Wave, that needs the paid Pro plan.
The second sign is a second person. When a bookkeeper or a helper needs to log in, adding users needs the paid Pro plan too. The third sign is inventory. When you start selling products on a shelf, or you want to see profit by store, Wave runs out of room, and QuickBooks Online on the Plus plan or higher picks it up.
None of this is a knock on Wave. It is the natural shape of a free tool. It fits a small, simple set of books. When the books stop being small or simple, a paid tool with more room starts to pay for itself in the time it saves.
How QuickBooks Online is built
QuickBooks Online has four plans named Simple Start, Essentials, Plus and Advanced. The number of paid users grows by plan, roughly 1, 3, 5 and 25. So if more than one person needs to log in, you move up a plan.
Bill management and time tracking start at Essentials. Inventory, purchase orders, class and location tracking, and project profit are on Plus and Advanced. Advanced adds more users, custom roles and analytics. The tools you get depend on the plan you pick.
It also has a very large app marketplace. If you use other software in your business, there is a good chance it connects. Many bookkeepers and CPAs already know it, which makes the year end handoff smoother. When your CPA knows the system, you answer fewer questions about where a number came from.
Plan names, limits and prices change often. Check Intuit's own pricing page before you choose. We never state prices here, because they move.

How we do it
We are QuickBooks Online Accountants (QBOA), so we work in the accountant side of QuickBooks Online every day. We work in Xero too. We do not work inside Wave.
We work inside your QuickBooks Online or Xero file. You do not have to switch. If you already use one of them, we log in there and do the work. If you are on Wave and you want help that needs more room, we help you move to QuickBooks Online or Xero. A move needs planning, and we clean the books first so errors do not move to the new system.
We start with clean and reconciled books. That means we reconcile every account and sort every transaction before we move forward. Reconcile means to match your software balance to your bank balance and explain every cent of the difference.
Then we close each month by the 10th. We categorize and reconcile in the first week. We send you one list of questions on day 8. We lock the period on day 10 and send your reports. The monthly routine matters more than the brand. Reconciled accounts, the same categories every time, and a month end close are what make the books trustworthy.
Mistakes we fix
- Staying on a free plan past the point it fits, then doing the work by hand that a bank feed could do.
- Switching systems to escape messy books, then carrying the same errors into the new file.
- Leaving bank feeds disconnected, so transactions stop flowing and the month falls behind.
- Using too many categories, so the reports stop being useful.
- Tracking income and expenses in two systems that never talk to each other.
What we do
We do monthly bookkeeping, and only bookkeeping. We work in QuickBooks Online or Xero, we close your books by the 10th, and we hand clean reports to your CPA at year end. Book a free 20 minute call and we will help you pick the system that fits your business.

Will moving fix my messy books? No. A move needs planning, and you should clean the books first so errors do not carry into the new file. If your current tool works and the books are clean, moving rarely helps on its own.
