QuickBooks Online vs Xero: Which Is Better for Your Small Business?

QuickBooks Online and Xero both do the core job. We compare who each fits, users, apps, job tracking and more, so you can pick with confidence.
What both systems do
Both QuickBooks Online and Xero are cloud accounting systems. That means you and your bookkeeper log in through a web browser instead of installing software on one computer. Both connect to your bank and card accounts. Both match transactions to the right category. Both make the three reports every business needs: a profit and loss report, a balance sheet, and a cash report.
Both also let your bookkeeper and your CPA log in at the same time. You do not email a file back and forth. Everyone looks at the same numbers.
How QuickBooks Online is built
QuickBooks Online has four plans named Simple Start, Essentials, Plus and Advanced. Recent plan guides say the number of paid users grows by plan, roughly 1, 3, 5 and 25. So if more than one person needs to log in, you move up a plan.
Tracking by class and location, and project profit, live on the higher plans. If you want to see profit by job or by store, you need a plan that includes those tools. QuickBooks Online also has a very large app marketplace. If you use other software in your business, there is a good chance it connects.
Many bookkeepers and CPAs already know QuickBooks Online. That matters more than people expect. When your CPA knows the system, the year end handoff is faster and you answer fewer questions about where a number came from.
How Xero is built
Xero has three US plans named Early, Growing and Established. Recent guides say every Xero plan includes unlimited users. So a team can all log in without moving up a plan for headcount. The Early plan has limits on invoices and bills that the Growing plan removes. Multiple currencies need the Established plan.
Many owners find the Xero screens simple to read. The layout is clean. For an owner who wants to glance at the books and understand them fast, that simplicity is a real plus.
Plan names, limits and prices change often. Check each company's own pricing page before you choose. What was true last quarter may not be true this quarter, so confirm the details at the source.

A made up example for teaching
How we do it
We are QuickBooks Online Accountants (QBOA), so we work in the accountant side of QuickBooks Online every day, and we work in Xero too. We work inside your QuickBooks Online or Xero file. You do not have to switch. If you already use one of them, we log in there and do the work. If you have no software yet, we help you set one up.
We start with clean and reconciled books. That means we reconcile every account and sort every transaction before we move forward. A switch needs planning, and we clean the books first so errors do not move to the new system.
Then we close each month by the 10th. We categorize and reconcile in the first week. We send you one list of questions on day 8. We lock the period on day 10 and send your reports. The monthly routine matters more than the brand. Reconciled accounts, the same categories every time, and a month end close are what make the books trustworthy.
We also keep your chart of accounts small and steady. A long list of accounts is hard to read and easy to misuse. We set up the accounts that fit how you work, and we use the same ones every month. When the categories stay the same, your reports start to tell a story you can follow.
Mistakes we fix
- Picking a plan for price alone, then paying more later to add users or tracking.
- Switching systems to escape messy books, then carrying the same errors into the new file.
- Using too many categories, so the reports stop being useful.
- Leaving bank feeds disconnected, so transactions stop flowing and the month falls behind.
- Tracking income and expenses in two systems that never talk to each other.
What we do
We do monthly bookkeeping, and only bookkeeping. We work in QuickBooks Online or Xero, we close your books by the 10th, and we hand clean reports to your CPA at year end. Book a free 20 minute call and we will help you pick the system that fits your business.
Four questions to pick your system
Questions people ask
Do I have to switch software to work with you? No. We work inside your existing QuickBooks Online or Xero file. If you have no software yet, we help you set one up.
Which one is cheaper for a small team? It depends on how many people need to log in. Xero includes unlimited users on every plan, while QuickBooks Online grows the user count by plan. Check each company's own pricing page before you choose, because plan names, limits and prices change often.
Can I see profit by job or location in both? Yes, but the plan matters. QuickBooks Online puts class, location and project profit on the higher plans. Xero offers tracking categories on its plans. Pick the plan that fits how you want to slice the numbers.
Will switching systems fix my messy books? No. A switch needs planning, and you should clean the books first so errors do not move to the new system. If your current system works and the books are clean, switching rarely helps.
Four questions can help you choose. Which apps do we use and do they connect? How many people need to log in? Do we need to see profit by job, place or team? Which one does our CPA use? Answer those four and the pick gets much easier.
