QuickBooks Online vs QuickBooks Desktop: Which Should You Be Using?
By 909 Bookkeeping
QuickBooks Online vs QuickBooks Desktop for small business: cloud vs install, bank feeds, support dates and how to pick. We work in QuickBooks Online.
What each one is
QuickBooks Online and QuickBooks Desktop are both bookkeeping software from the same company, Intuit. The big difference is where the file lives. QuickBooks Online lives in the cloud, which means you reach it through a web browser on any computer or phone. QuickBooks Desktop lives on one computer, and the file sits on that machine or on a server in your office.
A cloud file means your bookkeeper and your CPA can both log in from their own offices at the same time. A desktop file means one person has to be at the computer that holds the file, or you have to send a copy back and forth by email or a USB drive.
Both systems let you record what you earn and spend, send invoices, match your books to your bank, and make a profit and loss report and a balance sheet. A profit and loss report shows what you earned and spent over a period, like a month. A balance sheet shows what you own and what you owe on a given date.
How QuickBooks Online is built
QuickBooks Online has four plans named Simple Start, Essentials, Plus, and Advanced. The number of paid users grows by plan, roughly 1, 3, 5, and 25. Bill management and time tracking start at Essentials. Inventory, purchase orders, class and location tracking, and project profit are on Plus and Advanced. Advanced adds more users, custom roles, and analytics.
Class and location tracking means you can tag a sale by department or by store, then see profit for each one. Project profit means you can see income and cost for one job. Inventory means you can track stock you buy and sell.
It has a very large app marketplace, so it connects to many outside tools. Plan names, limits, and prices change often, so check Intuit's pricing page before you choose. Bank feeds mean the system pulls in your bank and card transactions each day, so you do not type them by hand.
How QuickBooks Desktop is built
QuickBooks Desktop comes in versions named Pro Plus, Premier Plus, Mac Plus, and Enterprise. After September 30, 2024, Intuit stopped selling new Pro Plus, Premier Plus, and Mac Plus subscriptions to new US customers. Enterprise is still sold. Existing subscribers can keep renewing their plans.
This means if you are a new business and you want to buy Desktop for the first time, the entry level versions are no longer sold to you. Only Enterprise is open to new buyers. That is a big change, and it pushes most new owners toward QuickBooks Online.
Older Desktop versions lose support, bank feeds, and payroll services at their end of support dates. That means a Desktop file you bought a few years ago may stop getting bank feeds and payroll updates on a set date. Check Intuit's support schedule to see when your version loses support.
Bank feeds in Desktop come through a service that downloads transactions, but they are less automatic than Online. If the feed stops on an old version, you may have to enter transactions by hand until you upgrade.
Where they differ
The biggest difference is access. QuickBooks Online lets many people log in at once from anywhere. Desktop locks the file to one machine, and only one person can work in it at a time unless you buy extra licenses and set up hosting.
The next difference is updates. QuickBooks Online updates on its own, and you always have the latest version. Desktop updates once a year when you pay for the new version, and the old version goes stale.
The third difference is backups. With Online, Intuit backs up the file on its servers. With Desktop, you have to back up the file yourself, and if the computer crashes, the file can be lost unless you saved a copy somewhere safe.
| Compare | QuickBooks Online | QuickBooks Desktop |
|---|---|---|
| Where the file lives | In the cloud, reached by browser | On one computer or server |
| Who can log in | Many people at once, from anywhere | One person at a time, unless you add hosting |
| Bank feeds | Pull in daily, on every plan | Less automatic, stops on old versions |
| Updates | Automatic, always current | Yearly, when you pay to upgrade |
| New sales | All plans sold to new buyers | Only Enterprise sold to new buyers as of late 2024 |
| What your CPA likely knows | Many already know it | Many know it, but it is fading |
When Desktop still makes sense
A few owners still prefer Desktop. If you have used it for years and your books are clean, you may not want to switch. If you have complex inventory or reports that Desktop does well and you do not need cloud access, Desktop can still work.
But the pool is shrinking. Intuit is pushing new buyers toward Online, and old Desktop versions lose bank feeds and payroll on set dates. If you are starting fresh, or if your Desktop version is about to lose support, moving to Online is usually the easier path.
We work in QuickBooks Online, not Desktop. If you are on Desktop and you want to move, we can help you plan the switch so your clean history comes with you.
The broken desktop file
A business runs its books in an old Desktop file. The owner tries to upgrade to a newer version, and the file will not open. Months of work sit inside a file that seems stuck.
Here is how we would handle it. We look at the file and find the last good backup. We open the backup in the version it was made for. We rebuild the chart of accounts so the balances are right. We move the clean history into QuickBooks Online so it is safe and reachable from anywhere. We test the new file to make sure the totals match.
A chart of accounts is the list of buckets you sort every transaction into, like rent, sales, or supplies. When the file breaks, those buckets can get mixed up. We set them straight so the books are true again.
How we do it
We are QuickBooks Online Accountants, so we work in the accountant side of QuickBooks Online every day, and we work in Xero too. We work inside your QuickBooks Online or Xero file. You do not have to switch to work with us.
If you have no software yet, we set one up for you. We start with clean and reconciled books. Reconciled means your books match your bank statement for the month. Then we close each month by the 10th and send your reports.
We use read only access, and we never ask for your bank password. Each client gets one dedicated bookkeeper who learns your business. We serve small businesses in Rancho Cucamonga, Ontario, Fontana, San Bernardino, and across the Inland Empire and the country. We do monthly bookkeeping and payroll.
If you want to move from Desktop to Online, we plan the switch so old errors do not carry into the new file. We clean the books first, then move them. A clean start in Online is better than a messy file that follows you.
Mistakes we fix
- A Desktop file that no one backs up, so a crash would wipe the books
- A Desktop version about to lose bank feeds, with no plan to move
- Books on Desktop that the CPA cannot reach without a copy sent by email
- A file so old the bank feed stopped months ago
- A Desktop file set up with no tracking by job or location when the owner needs it
What we do
We do two things: monthly bookkeeping and payroll. For bookkeeping, we categorize and reconcile in the first week, send one list of questions on day 8, and close the books by day 10. You get a profit and loss report, a balance sheet, and a cash summary. We start with a free 20 minute call and reply with a fixed quote in one business day.
Common questions
Should I start on Online or Desktop? For most new small businesses, Online. Intuit has made Desktop harder to buy, and Online lets your bookkeeper and CPA log in at the same time.
Can I stay on Desktop? Yes, if it works for you and your version still has support. Check Intuit's support schedule to see when your version loses bank feeds and payroll.
Can you move my Desktop file to Online? Yes. We plan the switch, clean the books first, and move the history so it comes with you. A clean start matters more than speed.
Do you work in Desktop? No. We work in QuickBooks Online and Xero. If you are on Desktop and want to move, we can help you switch.
Will Online cost more than Desktop? Check Intuit's pricing page for both. Online is a monthly plan. Desktop was a yearly plan, but most new sales are now Enterprise only.
