QuickBooks Online Plans Explained: Simple Start, Essentials, Plus and Advanced
By 909 Bookkeeping
QuickBooks Online has four plans. We explain Simple Start, Essentials, Plus and Advanced in plain words so you can pick the one that fits your business.
What QuickBooks Online is
QuickBooks Online is cloud accounting software. Cloud means you log in through a web browser instead of installing software on one computer. Your bookkeeper and your CPA can both log in at the same time and look at the same numbers. Bank feeds bring transactions in on their own, so you do not type them all by hand.
The plans all run in the same software. What changes is what you can do inside it. More users, more tools, and more room to grow come with the higher plans. Plan names, limits and prices change often, so check Intuit's own pricing page before you choose. We never state prices here, because they move.
How the plans stack up
The four plans build on each other. Simple Start is the smallest. Essentials adds bill management and time tracking. Plus adds inventory, purchase orders, and class and location tracking. Advanced adds more users, custom roles and analytics. You move up a plan when you need what the next one includes.
Simple Start
Simple Start is the smallest plan. It works for a solo owner who does the books alone and needs the basics: income, expenses, bank feeds, and a profit and loss report. Recent plan guides say it includes about one paid user. So if only you log in, and your books are plain, this may be enough.
The limits show up as you grow. If you hire a helper who needs to log in, or you need to track bills by due date, Simple Start runs out of room. That is the sign to move up a plan.
Essentials
Essentials adds the next layer. Bill management and time tracking start here. Bill management means you record the bills you owe and track when they are due. Time tracking means you log hours worked, which helps if you bill clients for your time.
Recent plan guides say it includes about three paid users. So a small team can all log in. If you have a manager and a bookkeeper, and you want to track bills and time, Essentials may be the fit.
Plus
Plus is where the bigger tools open up. Inventory, purchase orders, class and location tracking, and project profit live here. Inventory means the list of products you hold to sell. Purchase orders mean the orders you send to suppliers. Class and location tracking means you can tag a transaction by store or by job, then see profit by each one. Project profit means you can see whether one job or product made money.
Recent plan guides say it includes about five paid users. For a business that sells products, runs more than one location, or wants profit by job, Plus is often the right plan.
Advanced
Advanced adds the most. It includes about 25 paid users, custom roles and analytics. Custom roles mean you can decide who sees what, so a team member can see their part without seeing everything. Analytics means deeper reports on top of the standard ones.
Advanced fits a larger team, or a business that has outgrown Plus and wants more control and more reporting. Most small businesses do not need it to start. You move to it when the lower plans stop being enough.
A made up example for teaching
How we do it
We are QuickBooks Online Accountants (QBOA), so we work in the accountant side of QuickBooks Online every day. We work in Xero too. We work inside your QuickBooks Online or Xero file. You do not have to switch. If you already use one of them, we log in there and do the work. If you have no software yet, we help you set one up and pick the plan that fits.
We start with clean and reconciled books. That means we reconcile every account and sort every transaction before we move forward. Reconcile means to match your software balance to your bank balance and explain every cent of the difference. A move needs planning, and we clean the books first so errors do not move to the new system.
Then we close each month by the 10th. We categorize and reconcile in the first week. We send you one list of questions on day 8. We lock the period on day 10 and send your reports. The monthly routine matters more than the plan. Reconciled accounts, the same categories every time, and a month end close are what make the books trustworthy.
We also keep your chart of accounts small and steady. A long list of accounts is hard to read and easy to misuse. We set up the accounts that fit how you work, and we use the same ones every month.
Mistakes we fix
- Picking the top plan to start, then paying for tools you never use.
- Picking the smallest plan for price, then paying more later to add users or tracking.
- Leaving bank feeds disconnected, so transactions stop flowing and the month falls behind.
- Using too many categories, so the reports stop being useful.
- Switching plans to escape messy books, then carrying the same errors into the new plan.
What we do
We do monthly bookkeeping, and only bookkeeping. We work in QuickBooks Online or Xero, we close your books by the 10th, and we hand clean reports to your CPA at year end. Book a free 20 minute call and we will help you pick the plan that fits your business.
Four questions to pick your system
Questions people ask
Which plan do I need if it is just me? Simple Start is the smallest plan and works for a solo owner with plain books. Recent guides say it includes about one paid user. If you only log in and your books are simple, it may be enough.
Do I have to switch to work with you? We work in QuickBooks Online and Xero. If you have no software yet, we help you set one up and pick the plan that fits. If you already use one, we log in there.
Can I move up a plan later? Yes. You can move up when you need more users or more tools. Check Intuit's own pricing page for current limits and prices, because they change often.
Will a higher plan fix my messy books? No. A higher plan adds tools. It does not sort your transactions or close your month. We clean the books first, then close them on a schedule, no matter which plan you are on.
