Do I Need a Bookkeeper or Can I Do My Own Books?

By 909 Bookkeeping

You can do your own books if they are simple and you have the time. Here is when it makes sense, when it stops, and what the work actually takes.

Can you do your own books?

Yes, you can. Bookkeeping is not secret work. The software lets you do it. The bank feeds let you do it. Nothing stops a small business owner from keeping their own books. The real question is not whether you can. The real question is whether you will, every month, for as long as you run the business.

When it makes sense to do them yourself

It makes sense when your books are simple. A few sales a day. A few bills a week. One bank account and one card. No inventory to track. No team to pay. When the work takes a few minutes a week, doing it yourself keeps you close to the numbers, and that is a good thing.

It also makes sense when you have the time and the habit. Bookkeeping is a routine, not a project. It works when it gets done the same way, at the same time, every month. If you are the kind of owner who sits down on the same Friday and closes the month, your books will be fine.

When it stops making sense

It stops making sense when the books get complex, or when you keep falling behind. More accounts, more card transactions, more vendors, and more lines on the books all add up. The work that took ten minutes a week now takes hours, and it is the first thing you skip when the business gets busy.

The clearest sign is the same one every month. The books are not closed. The bank balance and the software balance do not match. You are not sure what you made last month. When that happens, the books are no longer doing their job, and the problem is the routine, not the software.

What doing your own books actually takes

  • Record every dollar in and every dollar out, each week.
  • Categorize each transaction to the right account.
  • Reconcile every account to the bank statement each month.
  • Track what customers owe you and what you owe vendors.
  • Close the month and lock the period so the totals stop moving.
  • Send out a profit and loss, a balance sheet, and a cash summary.
  • Do it all again the next month, on the same schedule.

A made up example for teaching

How we do it

We are QuickBooks Online Accountants (QBOA), so we work in the accountant side of QuickBooks Online every day. We work in Xero too. We work inside your QuickBooks Online or Xero file. You do not have to switch. If you already use one of them, we log in there and do the work. If you have no software yet, we help you set one up.

We start with clean and reconciled books. That means we reconcile every account and sort every transaction before we move forward. Reconcile means to match your software balance to your bank balance and explain every cent of the difference. We use read only access and we never ask for your bank password.

Then we close each month by the 10th. We categorize and reconcile in the first week. We send you one list of questions on day 8. We lock the period on day 10 and send your reports. The monthly routine matters more than the brand. Reconciled accounts, the same categories every time, and a month end close are what make the books trustworthy.

Mistakes we fix

  • Letting the books stay open, so the totals never stop moving.
  • Waiting for a free week that never comes, so the work piles up.
  • Skipping the reconcile step, so the software balance is just a number you typed.
  • Guessing at profit instead of knowing it from a closed set of books.
  • Trying to catch up a whole year at tax time, when it should be a monthly routine.

What we do

We do monthly bookkeeping, and only bookkeeping. We work in QuickBooks Online or Xero, we close your books by the 10th, and we hand clean reports to your CPA at year end. Book a free 20 minute call and we will help you decide whether to keep doing the books yourself or hand them off.

Questions people ask

Do I have to give up my software? No. We work inside your existing QuickBooks Online or Xero file. If you have no software yet, we help you set one up.

Will I still see my own books? Yes. Your books stay in your own accounting file. We use read only access, and you can see your reports any time.

How much time does doing my own books take? For a simple set of books, a few minutes a week. As the business grows, the time grows too, and that is when the routine usually breaks.

What if I am already months behind? We quote the catch up work first, then move you onto the monthly routine once the past months are clean.
