What each one is

Digits is an AI native accounting platform. AI means software that can do work a person usually does, like reading a transaction and guessing the category. A platform is a piece of software that brings your tools together in one place. Digits launched its Autonomous General Ledger in March 2025. A ledger is the full list of every transaction in your books. Autonomous means the software runs a lot of that list on its own.

QuickBooks Online is cloud accounting software. Cloud means you log in through a web browser instead of installing software on one computer. A person, or a bookkeeper, does most of the work inside it, and the software keeps the records safe.

The key difference is who does the sorting. With Digits, the software sorts for you. With QuickBooks Online, a person sorts, and the software stores it. Both can give you clean books in the end. The path there is not the same.

What AI is good at

AI is very good at the repeating work. If you sell the same product every day, the card deposits look alike. A person would sort each one the same way. The software can learn that pattern and sort the next one on its own. That saves time, and it cuts down on typing.

It is also good at the first pass. When a transaction comes in, the software can guess the category before a person looks. A bookkeeper then checks the guess instead of starting from a blank line. Checking is faster than sorting from scratch.

For a business with hundreds of small, similar transactions, that help is real. It is the part of bookkeeping that feels like a chore. Handing that part to a tool can free up your time for the parts that need a person.

Where a person still matters

AI is less good at the odd ones. A transaction that does not fit the pattern, like a loan you took out or a refund for a returned job, needs a person to say what it was. The software can guess, and it can guess wrong. A wrong guess sits in your reports until someone catches it.

A person also checks that the books make sense. The software can match a number to a number. A person can see that the number belongs where it is. That difference matters when the month closes and the totals lock. A tool can sort. A person can confirm the month tells a true story.

Closing is the other part. Closing a month means you reconcile every account, sort every transaction, and lock the period so the totals stop moving. The software can help with the sorting. A person still has to look at the odd items, answer the questions, and lock the period on purpose. Software alone does not replace a person who reviews the books every month.

How Digits is built

Digits says it can categorize transactions and reconcile accounts with little manual work. To categorize means to put each transaction in the right bucket, like office supplies or bank fees. To reconcile means to match your software balance to your bank balance and explain every cent of the difference. Those are the company's own claims, not ours, and claims can change over time.

The appeal is real. If you hate typing transactions in by hand, software that does it for you sounds great. For a business with a lot of small, repeat transactions, that can save real time every month.

The limits are real too. Digits has no inventory features. Inventory means the list of products you hold to sell. If your business sells products, that gap matters. It also has a smaller app ecosystem than QuickBooks or Xero. An ecosystem is the group of outside apps that connect to the software. Fewer connections means more work to link the tools you already use.

How QuickBooks Online is built

QuickBooks Online has four plans named Simple Start, Essentials, Plus and Advanced. The number of paid users grows by plan, roughly 1, 3, 5 and 25. So if more than one person needs to log in, you move up a plan.

Bill management and time tracking start at Essentials. Inventory, purchase orders, class and location tracking, and project profit are on Plus and Advanced. Advanced adds more users, custom roles and analytics. The tools you get depend on the plan you pick.

It also has a very large app marketplace. If you use other software in your business, there is a good chance it connects. Many bookkeepers and CPAs already know it, which makes the year end handoff smoother. When your CPA knows the system, you answer fewer questions about where a number came from.

Plan names, limits and prices change often. Check Intuit's own pricing page before you choose. We never state prices here, because they move.

How we do it

We are QuickBooks Online Accountants (QBOA), so we work in the accountant side of QuickBooks Online every day. We work in Xero too. We do not work inside Digits.

We work inside your QuickBooks Online or Xero file. You do not have to switch. If you already use one of them, we log in there and do the work. If you have no software yet, we help you set one up.

We start with clean and reconciled books. That means we reconcile every account and sort every transaction before we move forward. A move needs planning, and we clean the books first so errors do not move to the new system.

Then we close each month by the 10th. We categorize and reconcile in the first week. We send you one list of questions on day 8. We lock the period on day 10 and send your reports. The monthly routine matters more than the brand. Reconciled accounts, the same categories every time, and a month end close are what make the books trustworthy.

Software alone does not replace a person who reviews the books every month. A tool can sort a transaction. A person checks that the sorting makes sense, catches the odd one, and locks the period so the numbers stop moving. We are that person.

Mistakes we fix

  • Trusting the software to sort every transaction, then finding the odd ones at tax time.
  • Picking a tool for speed alone, then paying someone to clean up a year of bad sorting.
  • Leaving bank feeds disconnected, so the software has nothing to sort.
  • Switching systems to escape messy books, then carrying the same errors into the new file.
  • Using too many categories, so the reports stop being useful.

What we do

We do monthly bookkeeping, and only bookkeeping. We work in QuickBooks Online or Xero, we close your books by the 10th, and we hand clean reports to your CPA at year end. Book a free 20 minute call and we will help you pick the system that fits your business.

Answer these four and the choice gets easier.

Questions people ask

Can Digits replace my bookkeeper? It can sort a lot of the work, but it has no inventory and a smaller app ecosystem. A person still checks the books, catches the odd transactions, and closes the period. Software alone does not replace a person who reviews the books every month.

Do I have to switch to work with you? We work in QuickBooks Online and Xero. If you are on Digits, we help you move to one of those. If you have no software yet, we help you set one up.

Is Digits safe for my bank data? We do not work inside Digits, so we cannot speak to its setup. In QuickBooks Online and Xero we use read only bank feeds and we never ask for your bank password.

Will moving to QuickBooks Online fix my messy books? No. A move needs planning, and you should clean the books first so errors do not carry into the new file. If your current tool works and the books are clean, moving rarely helps on its own.
