Digits vs QuickBooks: Can AI Bookkeeping Software Replace a Bookkeeper?
By 909 Bookkeeping
Digits vs QuickBooks: can AI bookkeeping software replace a person who reviews your books each month? What each does and how to pick. We work in QuickBooks.
What each tool does
QuickBooks Online and Digits are both accounting software, but they take different shapes. QuickBooks Online is a full bookkeeping system where you record what you earn and spend, send invoices, and match your books to your bank. Digits is an AI native platform, which means it is built to do a lot of the bookkeeping work on its own.
Both aim to get your books clean and current. Both let you see your income and expenses. The difference is who does the work. QuickBooks Online is a tool a person drives. Digits is a tool that tries to drive itself. A person still needs to check the work either way, and that check is what catches the errors a machine can miss.
How QuickBooks Online is built
QuickBooks Online has four plans named Simple Start, Essentials, Plus, and Advanced. The number of paid users grows by plan, roughly 1, 3, 5, and 25. Bill management and time tracking start at Essentials. Inventory, purchase orders, class and location tracking, and project profit are on Plus and Advanced. Advanced adds more users, custom roles, and analytics.
Class and location tracking means you can tag a sale by department or by store, then see profit for each one. Project profit means you can see income and cost for one job. Inventory means you can track stock you buy and sell. It has a very large app marketplace, so it connects to many outside tools. Plan names, limits, and prices change often, so check Intuit's pricing page before you choose.
How Digits is built
Digits is an AI native accounting platform. Its Autonomous General Ledger launched in March 2025. Digits says it categorizes transactions and reconciles accounts with little manual work. Those are the company's own claims, not ours, so check Digits for the current details.
To categorize means to sort each transaction into the right bucket, like office supplies or rent. To reconcile means to make the books match the bank statement for the month. Digits has no inventory features and a smaller app ecosystem than QuickBooks or Xero. It is built to cut down on the hand work, not to be a full app market or a tool for tracking stock.
Where they differ
The biggest difference is who does the work and what the tool is for. QuickBooks Online is a full system your bookkeeper and CPA drive, with inventory, job tracking, and a large app market. Digits is built to automate the entry and the categorize and reconcile steps, but it is not built for inventory or a wide app market.
The other difference is trust. With QuickBooks Online, a person reads the books each month, asks about odd transactions, and closes the period. With Digits, the machine does more, and a person still needs to check it. Software alone does not replace a person who reviews the books every month.
| Compare | QuickBooks Online | Digits |
|---|---|---|
| What it is | A full bookkeeping system a person drives | An AI native platform that automates entry |
| Inventory and job tracking | On Plus and Advanced | Not built for inventory |
| Connected apps | Very large marketplace | Smaller app ecosystem |
| Who does the work | Your bookkeeper and CPA | The machine, with a person to check |
| What your bookkeeper or CPA likely knows | Many already know it | New, so fewer know it well |
Can AI replace a bookkeeper
AI can do a lot of the entry. It can sort a pile of transactions fast, and it can match many of them to the bank. That saves real time. What it cannot do is know your business, ask why a charge looks odd, or catch the one transaction that is in the wrong place because the rule got it wrong.
A bookkeeper does more than enter data. A bookkeeper learns how you make money, asks one good question when something is unclear, and closes the books on a schedule. A machine can do the first part. A person still needs to do the second part, or the books look clean and are not.
The machine and the check
A made up business turns on Digits to sort its transactions. Most get sorted right. One month a large refund gets put in sales by mistake. The rule saw the word return and guessed.
A person who reads the books each month catches it, moves it to the right place, and notes it. The books close by the 10th. Reconcile means the books match the bank statement for the month. The machine did the fast work. The person did the check that kept the books true.
How we do it
We are QuickBooks Online Accountants, so we work in the accountant side of QuickBooks Online every day, and we work in Xero too. We do not work in Digits. We work inside your QuickBooks Online or Xero file, and a person reviews the books each month.
We start with clean and reconciled books. Then we close each month by the 10th and send your reports. We use read only access, and we never ask for your bank password. Each client gets one dedicated bookkeeper who learns your business.
We serve small businesses in Rancho Cucamonga, Ontario, Fontana, San Bernardino, and across the Inland Empire and the country. We do monthly bookkeeping and payroll.
Mistakes we fix
- Books that look clean because a machine sorted them, with no person who checked
- A transaction put in the wrong place by an auto rule, month after month
- Inventory ignored because the tool was not built for it
- No one asking the one question that would have caught an error
- A year of transactions still uncategorized at year end
What we do
We do two things: monthly bookkeeping and payroll. For bookkeeping, we categorize and reconcile in the first week, send one list of questions on day 8, and close the books by day 10. You get a profit and loss report, a balance sheet, and a cash summary. We start with a free 20 minute call and reply with a fixed quote in one business day.
Common questions
Can AI replace my bookkeeper? It can do a lot of the entry. It cannot know your business or ask the one good question that catches an error. A person still needs to review the books each month.
Do you work in Digits? No. We work in QuickBooks Online and Xero. We use a person, not a machine, to review the books each month.
Is Digits cheaper than a bookkeeper? Check Digits for its current pricing. The cost only wins if the books are also right, and a person still needs to check them.
Will software fix my messy books? No. We clean the books first, then a person reviews them each month so they stay right.
