What bookkeeping is

Bookkeeping is the daily record of your business money. Every time a dollar comes in, it gets written down. Every time a dollar goes out, it gets written down. Each one gets sorted to the right bucket, like sales, rent, or supplies. At the end of the month, all of it gets checked against the bank.

The word can sound old and dull. The work is dull. But the work is also the foundation of every other number in your business. Your profit, your tax bill, and your loan application all start with these records. If the records are wrong, everything built on top of them is wrong too.

A good way to think about it is this. Bookkeeping is the part that answers, what happened with the money. It does not answer what to do about it. That second part is accounting, and it is a different job.

What a bookkeeper does

A bookkeeper does a few jobs, over and over. They record each transaction. They sort each one to the right account, a process called categorizing. They match the software balance to the bank balance, a process called reconciling. They track what customers owe you and what you owe vendors. And they close the month, which means they lock the period so the totals stop moving.

Categorize means to put each transaction in the right bucket. A payment to the landlord goes to rent. A card sale goes to sales. Reconcile means to match your software balance to your bank balance and explain every cent of the difference. Close means to finish the month, lock it, and move on to the next one.

The output of all this is a set of reports. The three main ones are a profit and loss statement, a balance sheet, and a cash summary. A profit and loss statement shows what you made and what you spent. A balance sheet shows what you own and what you owe. A cash summary shows how cash moved in and out.

Why clean books matter

Clean books matter because they are the only way to know if the business is working. If you do not know what you made last month, you are guessing. Guessing is how good decisions go wrong. A current set of books answers that question without effort.

Clean books also save you money at tax time. When your books are current, your CPA does tax work, not cleanup work. You pay for a tax return instead of paying someone to dig through your file and fix it first. The difference shows up on the invoice.

And clean books let you plan. When you can see the trend, you can decide whether to hire, whether to cut a cost, or whether to raise a price. You cannot do any of that from a number you are not sure is right.

Bookkeeping checklist

  • Record every dollar in and every dollar out.
  • Categorize each transaction to the right account.
  • Reconcile every account to the bank each month.
  • Track what customers owe you and what you owe vendors.
  • Close the month and lock the period so the totals stop moving.
  • Send out a profit and loss, a balance sheet, and a cash summary.

How we do it

We are QuickBooks Online Accountants (QBOA), so we work in the accountant side of QuickBooks Online every day. We work in Xero too. We work inside your QuickBooks Online or Xero file. You do not have to switch. If you already use one of them, we log in there and do the work. If you have no software yet, we help you set one up.

We start with clean and reconciled books. That means we reconcile every account and sort every transaction before we move forward. We use read only access and we never ask for your bank password.

Then we close each month by the 10th. We categorize and reconcile in the first week. We send you one list of questions on day 8. We lock the period on day 10 and send your reports. The monthly routine matters more than the brand. Reconciled accounts, the same categories every time, and a month end close are what make the books trustworthy.

Mistakes we fix

  • Letting the books stay open, so the totals never stop moving.
  • Leaving transactions uncategorized, so the reports stop being useful.
  • Forgetting to reconcile, so the software balance is just a number you typed.
  • Mixing personal and business money in the same account.
  • Waiting until tax time to clean up a whole year at once.

What we do

We do monthly bookkeeping, and only bookkeeping. We work in QuickBooks Online or Xero, we close your books by the 10th, and we hand clean reports to your CPA at year end. Book a free 20 minute call and we will help you get books you can trust.

Questions people ask

What is bookkeeping in one sentence? Bookkeeping is the work of recording every dollar that comes in and every dollar that goes out, sorting each one to the right place, and reconciling it all to the bank.

Is bookkeeping the same as accounting? No. Bookkeeping is the daily recording of what happened. Accounting is the work of reading those records and advising on what they mean. We do bookkeeping, and only bookkeeping.

Do I need a bookkeeper or can I do my own books? You can do your own books if they are simple and you have the time. Most owners fall behind because the work is dull and the month never closes. A bookkeeper keeps the routine going for you.

Do I have to switch software to work with you? No. We work inside your existing QuickBooks Online or Xero file. If you have no software yet, we help you set one up.
