Why people switch

Owners move to QuickBooks Online for a few clear reasons. They need more than one person to log in. They need a bank feed to do the typing. They need inventory, or profit by location, or a tool that connects to more outside apps. Many also move because their CPA already knows QuickBooks, so the year end handoff is faster.

Sometimes a tool stops fitting. Wave has changed plans before, and some features that were free moved to a paid plan. FreshBooks is strong for a service business, but an owner who starts selling products can run out of room. Excel is just a grid, so it has no bank feed and no reports that build themselves.

None of those tools are bad. They fit a stage. When the business grows past that stage, a move makes sense. The goal of the move is to get the same clean books in a tool with more room.

What a switch really is

A switch is not an export and an import. It is a rebuild of your books in a new place. The old file has your accounts, your categories, your balances, and your history. The new file starts empty. You have to decide what to bring over, and you have to set it up so the new file tells the same true story.

The hard part is not the typing. The hard part is the cleaning. If the old file has uncategorized transactions, wrong categories, or accounts that never reconciled, those problems come with you unless you fix them first. A move is the right time to clean, because you are touching every line anyway.

A good switch has three steps. Clean the old books. Set up the new file with the right accounts. Bring over the balances and the open items. Then reconcile the new file to the bank and make sure it matches. That last step is the one that tells you the move worked.

Moving from Wave

Wave is cloud accounting software built for a solo owner with simple books. On June 1, 2026, older free Wave business accounts with no paid features moved to a free Starter plan. The Starter plan covers unlimited invoicing and manual bookkeeping. Automatic bank connections for transaction import, and adding users, need the paid Pro plan. Wave has changed plans before, so check its plan page.

When you move from Wave, the common reason is that you outgrew the free plan. You wanted a bank feed to do the typing, or a second person to log in, or inventory and profit by location. QuickBooks Online picks all of that up.

The move is mostly about the balances and the open items. Your invoices that are not paid yet, your bills that are not paid yet, and your bank and card balances come over. We set up the accounts to match how you work, and we reconcile the new file to the bank to make sure nothing shifted in the move.

Moving from FreshBooks

FreshBooks is cloud accounting software built for a service business that bills clients for time. The plans are named Lite, Plus, Premium and Select, and they are organized around how many billable clients you have. Invoicing, time tracking and client billing are the core.

When you move from FreshBooks, the common reason is that you started selling products, or you wanted more room to grow. FreshBooks has limited inventory tools. If you sell products on a shelf, hold stock, or want profit by location, QuickBooks Online on the Plus plan or higher is a better fit.

The move brings your open invoices and your balances. We set up the chart of accounts in the new file to match how you work now, not how you worked when you started. We clean the old books first, so the open items that come over are right.

Moving from Excel

Excel is a spreadsheet, not accounting software. A spreadsheet is a grid of rows and columns you fill in by hand. Some owners start there because it is free and they know it. Over time, the grid gets long, the formulas break, and there is no bank feed to bring transactions in on its own.

Moving from Excel is the biggest rebuild of the three. There is no clean export of accounts and balances, because Excel does not know what an account is. You have a list of numbers in rows. We read the list, sort it into the right accounts, and build the books in QuickBooks Online from the ground up.

The good news is that a clean Excel file can move fast. The bad news is that a messy Excel file hides errors well, because there is no reconciliation to catch them. The first reconcile in the new file is the moment of truth. That is when we find out what was right and what was not.

What to bring and what to leave

You do not have to bring everything. Most owners bring the open balances and the current year. Open balances are the amounts in your accounts right now, like your bank balance and what customers still owe you. The current year is the months you are still working in.

Old, closed years can stay in the old file for reference. You do not need to retype a year that is done and locked. Your CPA can look at the old file if they need to. We talk through what to bring before we start, so you know what comes over and what stays.

The rule is simple. Bring what you still use. Leave what is done. Clean what you bring, so the new file starts honest.

Switch checklist

  • Clean the old books first, so errors do not carry into the new file.
  • List the accounts you need in the new file, and drop the ones you never use.
  • Bring the open balances, the bank and card balances, and the open invoices and bills.
  • Bring the current year, and leave old closed years in the old file.
  • Reconcile the new file to the bank right after the move.
  • Check that the profit and loss and the balance sheet still tell the same story.

A made up example for teaching

How we do it

We are QuickBooks Online Accountants (QBOA), so we work in the accountant side of QuickBooks Online every day. We work in Xero too. We do not work inside Wave, FreshBooks or Excel.

We work inside your QuickBooks Online or Xero file. You do not have to switch. If you already use one of them, we log in there and do the work. If you are on Wave, FreshBooks or Excel, we help you move to QuickBooks Online or Xero. A move needs planning, and we clean the books first so errors do not move to the new system.

We start with clean and reconciled books. That means we reconcile every account and sort every transaction before we move forward. Reconcile means to match your software balance to your bank balance and explain every cent of the difference.

Then we close each month by the 10th. We categorize and reconcile in the first week. We send you one list of questions on day 8. We lock the period on day 10 and send your reports. The monthly routine matters more than the brand. Reconciled accounts, the same categories every time, and a month end close are what make the books trustworthy.

Mistakes we fix

  • Moving a messy file as is, then finding the same errors in the new system.
  • Bringing every old year, then paying to clean years that were already done.
  • Setting up too many accounts in the new file, so the reports stop being useful.
  • Forgetting to reconcile the new file right after the move, so no one knows if it matched.
  • Leaving bank feeds disconnected in the new file, so the transactions stop flowing.

What we do

We do monthly bookkeeping, and only bookkeeping. We work in QuickBooks Online or Xero, we close your books by the 10th, and we hand clean reports to your CPA at year end. Book a free 20 minute call and we will help you plan a clean move to the system that fits your business.

Questions people ask

How long does a switch take? It depends on how clean the books are and how many months you bring over. A clean set moves fast. A messy set takes longer, because we clean it first so errors do not carry into the new file.

Do I have to switch to work with you? We work in QuickBooks Online and Xero. If you are on Wave, FreshBooks or Excel, we help you move to one of those. If you have no software yet, we help you set one up.

Do my old transactions come with me? You bring what you need. We usually move the open balances and the current year. Old, closed years can stay in the old file for reference. We talk through what to bring before we start.

Will moving fix my messy books? No. A move needs planning, and you should clean the books first so errors do not carry into the new file. If your current tool works and the books are clean, moving rarely helps on its own.
